Summary

We are seeking an experienced Business Operations Analyst to immediately join our Business Ops /  People Ops team.  We are looking to bring on someone who will be an integral part of our team, assisting with all the key activities of the Business and People Operations functions of the Company including contracts management, accounting and finance, human resources, and other business processes to maximize efficiencies, enabling the company to scale to meet increased demand.

About the role

As a Business Operations Analyst, your main duties will include, but is not limited to:

  • Working with the sales team and Director of Business Operations to draft, review, and finalize boilerplate customer contracts, and supplemental materials, as needed.
  • Obtaining signatures for contracts via our e-signature platform, DocuSign or through the customer’s preferred signing method. 
  • Generating and distributing accurate and timely invoices to customers. 
  • Managing customer collections, ensuring timely collection of all customer payments. 
  • Maintaining accurate records of billing and collection activities.
  • Updating customer records in HubSpot (CRM) and MAXIO (Subscription Management) for completeness including relevant documents and revenue details.
  • Addressing basic contract and billing inquiries from customers and resolving discrepancies.
  • Maintaining weekly sales performance reports and graphs for management.
  • Maintaining the master list of all signed contracts and contract details.
  • Working with customers to complete vendor registrations and keep registrations up to date as needed.
  • Conducting ad-hoc qualitative and quantitative data analysis to inform business strategies.
  • Developing and maintaining reports and dashboards to track key performance indicators (KPIs) and provide insights on business trends, providing actionable insights based on data analysis to help guide strategic planning and decision-making.
  • Assisting in preparing monthly expense report cards for department heads.
  • Owning the document management system, maintaining a well-organized and complete set of all contracts and customer files as the corporate record.
  • Providing administrative support to the Business and People Operations team including development and maintenance of spreadsheets, accounting activities, record keeping, etc. on an as-needed basis.
  • Grooming applicable files in the company’s due diligence data room to keep materials current and well organized.
  • Working with a multi-functional team and communicating proactively to resolve issues.

About you

Smart, hard working, well organized, with strong attention to detail. Able to balance the need to get contracts signed, with the need to protect key business requirements of the company. This is a full-time position based in the United States with a 100% remote team.  You should be able to work at least partly during US Eastern Time Zone Business Hours (9am Eastern Time (EST) – 5pm Eastern (EST)) or thereabouts.

Skills and Experience:

  • Minimum of 2 years previous work experience in a business operations, finance, or paralegal role.
  • Bachelor’s Degree
  • Agility to thrive at an early-stage company
  • Detail-oriented, and well organized.
  • Demonstrated experience working in a 100% remote environment.
  • Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
  • Tech-savvy: comfortable using a variety of software tools in daily business activities including, but not limited to, Google and Microsoft apps, DocuSign or other document management systems.
  • Proficiency in Google Sheets and/or Microsoft Excel with the ability to perform complex formulas and data visualizations. 
  • Accustomed to using HubSpot or a comparable CRM to track and manage customer account activity.
  • Excellent English language communication skills (both speaking and writing)
  • Team mindset – able to effectively work with team members across all functional areas of the business to achieve shared goals and objectives
  • Basic understanding of accounting and finance principles. 
  • Handling of confidential information with absolute integrity and discretion at all times.
